CONSTITUTION

TRINIDAD AND TOBAGO

5.1 Becoming A Member

Persons interested in joining the group are required to submit a well-

written paragraph about themselves. Notice will be given if your

application has been either approved/declined.

5.2 Membership Contribution

Members will be expected to pay a contribution of $25TT each term.

This contribution is in place as a way to raise funds internally for the

organization. The fee must be paid before the ending of each term.

This termly contribution is confirmation of membership.

5.3 Ceasing To Be A member

Members may resign at any time in writing to the Board.

Any member who has not paid their membership fee for one year will

be contacted by the secretary, who will then decide whether that

member is deemed to have resigned.

Any offensive behavior, including racist, sexist or inflammatory

remarks, will not be permitted. Anyone behaving in an offensive way or

breaking the equal opportunities policy may be asked not to attend

further meetings or to resign from the group if an apology is not given

or the behavior is repeated. The individual concerned shall have the

right to be heard by the executive board, accompanied by a friend,

before a final decision is made.

6. Equal Opportunities

MADE – Making A Difference Everywhere will not discriminate on the

grounds of gender, race, colour, ethnic or national origin, sexual

orientation, disability, religious or political belief, marital status or age.

7.2 Executive Elections

An Executive member will leave their position by choice or by ceasing

to be a member. Nominations will be made by the remaining board

members and a vote will take place when all nominations are received.

An official ceremony will take place thanking the former member for

their service and officiating the new member of the position.

8. Committees

MADE – Making A Difference Everywhere will consist of various committees

who will be responsible for the different projects that the group entails.

The following committees shall exist within the group:

Executive Board – This is made up primarily of the executive members

who are in-charge of the overall business concerning the group.

Fundraising Committee – This committee will be chaired by the

treasurers of the organisaton. It will consist of the persons who will be

in charge of planning activities that are geared towards raising funds

for the group.

Social Events Committee – This committee will be chaired by the Public

Relations Officers (P.R.O.s) of the organisation. It will consist of the

persons who shall be given the tasks of planning socializing events for

the group.

Annual General Meeting Committee – This committee will be chaired by

the secretaries of the organisation. This plays a vital role, as they are

responsible for preparing and gathering information for the year to

present at the meeting.

**** Committee meetings are open to members of MADE – Making A

Difference Everywhere, they are entitled to attend and voice

concerns/suggestions, but they would not be able to vote on decision 

9. Meetings

9.1 Annual General Meetings

An annual general meeting will take place approximately within 12

months of the previously held Annual General Meeting.

All members will be notified in writing at least 3 weeks before the date

of the meeting, giving the venue, date and time.

Nominations for the committees may be made to the Secretary before

the meeting, or at the meeting.

At the Annual General Meeting:-

The Committees will present a report of the work of MADE –

Making A Difference Everywhere over the year.

The Committees will present the accounts of MADE – Making A

Difference Everywhere for the previous year.

The officers and Committee for the next year will be elected if

needed.

Any proposals given to the Secretary at least 7 days in advance

of the meeting will be discussed.

9.2 Special General Meetings

A member of the Executive Board will call a Special General Meeting at

the request of the majority of the committee or at least eight other

members giving a written request to the President or Secretary stating

the reason for their request.

The meeting will take place within twenty-one days of the request.

All members will be given two weeks’ notice of such a meeting, giving

the venue, date, time and agenda, and notice may be by telephone,

email or post.

12. Finances

An account will be maintained on behalf of the Association at a bank agreed

by the committee. Two cheque signatories will be nominated by the

Committee (Treasurers). They must sign every cheque. The signatories must

not be related nor members of the same household.

Records of income and expenditure will be maintained by the Treasurers and

a financial statement given to each meeting.

All money raised by or on behalf of MADE – Making A Difference Everywhere

is only to be used to further the aims of the group, as specified in item 2 o

13. Amendments of the

Constitution

Amendments to the constitution may only be made by the Executive Board

at any time.

Any proposal to amend the constitution must be given to the Secretary in

writing. The proposal must then be circulated with the notice of meeting.

Any proposal to amend the constitution will require a majority of those

present and entitled to vote.

14. Dissolution of the group

If a meeting, by simple majority, decides that it is necessary to close down

the group it may call a Special General Meeting to do so. The sole business of

this meeting will be to dissolve the group.

If it is agreed to dissolve the group all remaining money and other assets,

once outstanding debts have been paid, will be donated to a local charitable

organisation. The organisation to be agreed at the meeting which agrees the

dissolution.
